Phase 4 | Style / Formatting



Overview


After completing Phase 3 | Rights Agreement, your manuscript will need to meet the following requirements to move into Phase 5 | Copy Editing:

  • Style: your references and citations must follow the Seventeenth Edition of the Chicago Manual of Style Author-Date. No other styles are allowed. Please refer to the Citation and Reference Guide. Please ensure that American English grammar and spelling is used throughout the manuscript.
  • Formatting: your manuscript must be in the CGRN Article Template. Figures and tables must fit the guidelines, and you will be asked to review statements regarding image permissions, informed consent, and conflicts of interest. The manuscript should no longer be anonymized in this phase, and all authors must have CGScholar accounts. 


Please note that no content updates to the manuscript can be made in this phase.



Step-by-Step Guide | Completing Author Tasks 


Step 1Prepare the Formatted Manuscript

When you have completed Phase 3 | Rights Agreement, you will receive an email from the CGRN Journal Publishing Team with instructions for formatting your manuscript. Your manuscript must be in the CGRN Article Template and abide by Chicago Manual of Style Author-Date (Citation and Reference Guide). 


Step 2: Submit the Formatted Manuscript

Sign in to CGPublisher with your CGScholar account information. Submit the revised file via the Documents tab on your Works page. The CGRN Journal Publishing Team will review your revisions. Further changes will be requested if the style and formatting requirements are not met.


Frequently Asked Questions | Style


Can I use a style besides Chicago Manual of Style Author-Date? What if I am unfamiliar with this style? No other styles are allowed. Your manuscript must follow Author-Date guidelines outlined in the Seventeenth Edition of the Chicago Manual of Style (CMS17) in Chapter 15. Please refer to the Chicago Manual of Style and our Citation Guide for instructions and examples. If you are unable to convert your references and citations to meet this requirement, please consider seeking assistance from Editage

Can I use Chicago Manual Notes and Bibliography format? We do not accept the Notes and Bibliography format. Please follow the Author-Date format for all in-text citations and reference list entries.

Can I use the “Citations & Bibliography” tool in Microsoft Word or other referencing and citation tools? Please avoid using any referencing or citation tools. Many of these tools do not create references and citations correctly and interfere with the article formatting.

What should be included in my reference list? All in-text citations must have a corresponding entry in the reference list, and all reference list entries must have a corresponding in-text citation.

What should I do for non-English references? An English translation must follow all non-English titles in your reference list in square brackets. Please refer to the Citation and Reference Guide for examples.

Do I need to cite the source for figures and tables? If the figure/table was not created by the author, please provide the source from which it was obtained. If you are using an image or content from an outside source, you must be certain it qualifies as fair use or that you have received permission for its use in your manuscript. A source line is not required if the figure/table was created by the author for the manuscript.

How do I put my manuscript into the template? Copy and paste your manuscript into the CGRN Article Template and abide by the Microsoft Word Styles in the document. Specific details, such as the size of the headers, block quotation formatting, and figure and table formatting, are provided in the template text. The CGRN Journal Publishing Team will fill in all extraneous information (e.g., journal heading, received date, accepted date, etc.) during Phase 5 | Copy Editing.


What are the formatting requirements for tables and figures? All tables and figures should be no more than 5.4 inches wide. Tables in landscape mode are not accepted. All images should be clear and in focus. You will be asked to replace low-quality images.


Do I have to include the “Informed Consent” section? If your study involved participants, you must include the “Informed Consent” section in your manuscript. All manuscripts must comply with the Informed Consent for Human and Animal Rights statement. This applies to the use of data, surveys, interviews, and photographs, especially in the case of students in the classroom. If participants have not granted permission for photographs of them to be published, you must block out their faces or remove the photographs. 


Should my manuscript still be anonymized? All author information should be provided in this phase. Please provide the information as requested in the CGRN Article Template. Please note that all authors must have CGScholar accounts. 


Can I provide more details in the “About the Authors” section? Please only provide the information requested. Any additional information will be removed during Phase 5 | Copy Editing. We highly suggest filling out your CGScholar profile with any additional information. We encourage all authors to add their ORCID ID to their CGScholar profile to help maximize the visibility of this article on the web.
